What changes when the bottles go

A bottleless cooler connects to the building's cold water line and filters on the way through, so it produces chilled and sometimes hot water without anything being delivered, stored, lifted, or returned.

The operational change is usually what sells it. No delivery schedule to manage, no stack of full bottles taking floor space, no empties waiting for collection, and no one lifting an eighteen litre bottle onto a cooler in an office where that is nobody's job.

The water comes from the same supply as the taps, so its quality starts where your building's water quality is and improves by whatever the fitted filter stage does.

Specifying one properly

Check what the filter stage is certified for. Many units ship with a carbon filter certified under NSF/ANSI 42 for taste and odour, which is fine when taste is the concern and insufficient if the building has a lead issue. Models with a stage certified under NSF/ANSI 53 cover lead and cysts.

Where the building water has high dissolved solids, a cooler with a reverse osmosis stage produces noticeably better water, at the cost of a drain connection and a slower fill rate.

Size on the number of people rather than the number of desks. A unit sized for occasional use will run out of chilled water mid-morning in a busy office and people will go back to buying bottles.

The maintenance that gets forgotten

Two jobs, and the second is the one sites skip. The filter is changed on schedule, and the dispense path is sanitised, typically every six to twelve months.

A cooler that has been plumbed in and then ignored for three years is not better than bottled water. The filter is long exhausted and the dispense area has had years of hands and bottles against it.

Assign it to a named person or put it on a service agreement. The failure mode here is organisational rather than technical, and it is entirely predictable.

Each row names the NSF/ANSI standard the category is tested under. A standard describes what the test covers. It does not mean every unit on the market carries that certification, so check the specific model against its listing before you buy.

What it does not do

Every filter has a boundary. These are the things this one will not fix, listed so you can rule it out quickly if your problem is on the list.

  • Water anywhere else in the building.
  • Dissolved solids and nitrates, unless the unit includes reverse osmosis.
  • Hygiene of the dispense area, which still needs a cleaning routine.

When it fits

  • An office currently paying for bottle delivery and storage
  • A break room with a cold water line within reach
  • You want to remove bottle handling from the workflow

When it does not fit

  • No water line can reach the location
  • Very low usage, where a simple filter jug is cheaper
  • The building water has a contaminant that needs more than the fitted stage

A line can usually be run, and the cost depends on the distance and what the route passes through. In a leased space this normally needs landlord consent. Where a run is impractical, a point-of-use unit at an existing sink plus a separate chiller is sometimes a better answer than a long pipe.
