Usually a drinking water question
In most offices the building water is fine and the brief is about how people get a glass of it. That makes this a different problem from a restaurant or a home, and the answer is usually a plumbed dispense point rather than treatment of the supply.
A bottleless cooler connects to the existing cold line and filters on the way through. What changes is operational: no delivery schedule, no stack of bottles taking floor space, no empties waiting for collection, and nobody lifting an eighteen litre bottle onto a cooler as an unassigned task.
Where the building water does have a specific issue, a unit with a stage certified under NSF/ANSI 53 or with reverse osmosis addresses it at the point people drink from.
Siting and the things that stop a job
A cold water line within reach is the main constraint. A run can usually be made, and the cost depends on distance and what the route passes through. In a leased space this normally needs landlord consent, which is worth starting early.
An outlet at the unit is the second. Coolers with chilling or boiling functions draw meaningful power and should not share a circuit with equipment that trips.
Size on headcount rather than desk count. A unit specified for occasional use runs out of chilled water mid-morning in a busy office, and people quietly go back to buying bottles, which defeats the point of the installation.
The maintenance nobody owns
Two jobs, and the second is skipped almost everywhere. The filter is changed on schedule, and the dispense path is sanitised on a similar cycle.
A cooler that was plumbed in and then forgotten for three years is not better than bottled water. The filter is long exhausted, and the dispense area has had years of hands and bottles against it.
The failure here is organisational rather than technical and it is entirely predictable, so the fix is a named owner or a service agreement. Where we hold the plan we log each visit with what was changed, which also gives facilities a record rather than an assumption.
Is it actually cheaper than bottled
Usually, and the saving is larger than the water cost alone suggests. Bottled delivery carries the price of the water, the rental on the cooler, the delivery charge, and the floor space that full and empty bottles occupy.
Against that, a plumbed unit has an installation cost up front, then filters and sanitisation on a schedule. For most offices above a handful of people the crossover comes well inside the first year.
Below that size the arithmetic can go the other way, and a filter jug in the kitchen is a perfectly reasonable answer. We would rather tell you that than install a cooler that serves four people.
The constraints that decide what is possible
These are checked before any equipment is discussed, because in this kind of property they rule options in and out before water quality does.

- A named person responsible for filter changes, which is the part that most often lapses
Permission and approval
Most commercial leases require landlord consent for plumbing work.
Equipment that suits this setting
- Bottleless water coolers. A cooler plumbed into the building supply with filtration built in, replacing delivered bottles.
- Under-sink carbon filters. A carbon block cartridge on the cold line under the sink. No permanent alteration required in the right configuration.
- Reverse osmosis, tank. A membrane system under the sink that produces treated water to a dedicated tap and stores it in a small pressure tank.
What this equipment will not do
- Water anywhere else in the building.
- Dissolved solids and nitrates, unless the unit includes reverse osmosis.
- Hygiene of the dispense area, which still needs a cleaning routine.
Problems that come up in these properties
- Chlorine and chloramine taste. Confirm with free and total chlorine test strip, plus the utility report for the disinfectant type.
- Lead in drinking water. Confirm with certified laboratory analysis of a first-draw tap sample.
- PFAS. Confirm with certified laboratory analysis using an epa-approved pfas method.
- Nitrates. Confirm with laboratory nitrate-nitrogen analysis.
How the work is done
- Free water testing. Typically 45 to 60 minutes.
- Under-sink reverse osmosis installation. Typically 2 to 4 hours.
- Maintenance and filter replacement. Typically 30 to 90 minutes per visit.
- Repair, any brand. Typically 1 to 3 hours.
